Booking Conditions (The Boring Bit)

All course bookings are subject to the terms and conditions below. When you book a course or experience with Adventure Awaits we will send you a form that needs to be completed and returned to us in advance of attending. We will also send you more information about the course or experience including kit list, a broad itinerary and other relevant information.


1. Fees


1.1 The course or experience fees are exempt from VAT


1.2 We are able to accept payment by paypal or bank transfer to the following account:

2. Cancellation by client


2.1 Any changes or cancellations will need to be given to us by email.


2.2 If you cancel the course or experience we will return the following percentages of the course or experience fee depending on when we receive notification of your cancelation.


- 8 weeks before the course start date: 75% of the course fee will be returned to you


- 4 weeks before the course start date: 50% of the course fee will be returned to you.


- 2 weeks before the course start date: 25% of the course fee will be returned to you.


2.3 If you wish to transfer your place to another course or experience that we are running then please ask and we will try to transfer you. If we are able to transfer you on to another course then this will incur a £30 charge if done less than 8 weeks before the course start date.


3. Cancellation by us


3.1 We (Adventure Awaits) will endeavour to run all courses or experiences as planned. However for operational reasons we may have to cancel/amend your booking.


3.2 In the event of cancellation of any booking by us, we will offer you a refund of the course or experience fee, or transfer onto another course.


4. General


4.1 You will be asked to fill in a participation and emergency contact detail form prior to your course or experience starting.


4.2 The courses and experiences are designed for adults. However, we will consider accepting someone who is 16 years of age or more at the course or experience start date. Please contact us for more information about this and to discuss whether this would be appropriate.


4.3 All course or experience participants are strongly advised to take out appropriate cancellation, curtailment and accident insurance.


4.4 Please make sure that you have read the details of the course or experience and believe that you will be able to participate before booking. If you have any concerns about your ability to participate in the course or experience then please contact us.


4.8 Any damage to the accommodation or any equipment loaned to you will incur an additional charge.


4.9 We accept no liability for the consequences of strikes, riots, acts of war or terrorism, disease outbreaks, government intervention, natural disasters or adverse weather conditions. If such occurrences cause us to have to cancel a course, experience or trip we will offer an alternative if possible, but accept no liability for return of fees paid prior to cancellation or curtailment.


4.10 If you have a complaint about the service you receive at any point during the course or experience, you must notify us as soon as possible to give us the opportunity to put things right.


4.11 Making your booking implies that you understand and accept these booking conditions and agree to abide by them.


5. Your data


5.1 We do not sell, rent or lease our customer information to third parties.


5.2 We may use photography and video content taken during our courses or activities on our social media sites.


5.3 We collect information that you provide us for the purposes of your participation in the course or experience. We will use your personal data only to facilitate your participation in the course or experience. We will not share your personal data with anyone else other than in exceptional circumstances (for example, sharing medical information with emergency services). We may store your personal data for up to six years after the date of the course or experience on our email servers. If you want to exercise any of your rights under any data protection legislation please contact us. 


6. Safety


6.1 Our courses and experiences are planned and run in a way designed to manage the risk of accident to both clients and instructors, while at the same time providing you with the best learning experience we can offer.


6.2 Activities in the mountains contains an inherent degree of hazard and risk and despite the greatest care accidents may still occur.


6.3 All participants on our courses or experiences should be aware that involvement puts them at risk of accident and potential injury, possibly serious or even fatal. By enrolling on our courses or experiences you are confirming that you are aware of and accept the inherent risk associated with participating in our courses or experiences. Except for any personal injury or death caused by our negligence, you confirm that you will not hold Adventure Awaits (Dean Russell) responsible for any injury, loss or damage to you or your property that you suffer on the course or experience.


6.4 In order to help ensure your own safety and the safety of the group you must tell us if you are unhappy or feel the activity is beyond your ability at any point during the course or experience.


6.5 You must tell us if you have any medical conditions that may affect your ability to participate in our courses or experiences or may compromise your (or the group’s) safety whilst on the mountain.


6.6 The weather conditions may determine that we are unable to spend much or any time in the mountains. This will be rare but if this happens we will work to provide similar training or experiences to you in lower areas where possible. We reserve the right to decide to not pursue any training or experiences outside due to weather.


6.7 We will be using our reasonable endeavours to assess your ability to participate in the activities planned throughout the course or experience. We will do our best to accommodate all abilities but there may be times when we determine that someone’s ability is unsuitable for the training or experience we are proposing. In that situation we may decide that someone cannot participate in the course or experience as planned. In this situation we will attempt to offer alternative training or experience, or may (at our discretion) offer a refund of a proportion of the course or experience fee (less all accommodation, food and costs of participation up to this decision).


6.8 In order for everyone participating in the course or experience to be safe, you agree to follow all the instructions that we give you.


6.9 You must be physically fit for the course or experience that you book onto.


These terms and conditions will not affect your statutory rights.
